We're happy to help with this tedious 5 step process.  Order THE WORKS and we'll file the BOC-3, order your DOT Pin, grab your authority letter on grant date, set up your Portal, link the portal with the Clearinghouse and file your MCS-150.  Let us handle the details while you concentrate on other aspects of getting this business off the ground.

About a month after you apply for your authority the FMCSA will mail you (not email but come to your actual physical mailbox) a Decision letter.  DO NOT IGNORE THIS LETTER!

This letter is a critical piece in determining when you need to file the requirements to activate your authority.  All authorities require a BOC-3 and some sort of insurance depending on the type of authority you applied for.

Here is a sample letter you need to be looking for in your mailbox.

Add 60 days to the service date on the upper right hand corner of this letter and back up a few days.  This will be your FINAL date to file your BOC-3 and Insurance/Bond on this account.  

This is the $300+ question!  If you miss this date and the FMCSA dismisses your application, you start the process all over again.  You do get to keep your assigned MC and DOT number but you'll have to pay the fees and file applications again with the FMCSA.  Once you reapply and pay the fees again, you will need to file the BOC-3 and insurance before the new deadline to activate the authority.

I'm sure this will happen to thousands of applicants right out of the gate if they ignore this letter.  It's always a good idea to hire a professional the first time around.  It WILL save you money in the long run.  We're trained and ready to handle this issue with safeguards in place.

Growing a trucking business has its fair share of challenges. Business owners that make the right decisions at the right time have the greatest chance of success. It doesn’t matter how long you’ve been driving in the trucking industry; if you don’t know how to operate a company, you will not succeed. So, what can you do to grow your trucking business?

A huge part of success is having your business finances situated. When first starting your trucking company, you should have predicted your finances in your business plan. If you don’t have a business plan, make one. Your financial plan should outline how much you plan to spend and how you plan to turn a profit. You need to track all your spending, current balances, and income. Plus, your financial goals and expenses. Once you know this, you can make a plan to succeed.

Your rate per mile determines how much you can charge for your services to make a profit. It’s based on your equipment, the market you haul in, the lanes you run, and other related variables. You can find an estimated rate per mile from averaging ten rates for the types of loads you typically haul.

Your trucking cost per mile determines if you charge enough for hauling the load. It’s important to have an accurate number for this, so you don’t end up losing money. Many truck drivers go out of business because they don’t take the time to calculate their cost per mile. You find your cost per mile by determining how many miles you drive and calculating your fixed and variable costs. You can then decide how much it costs you to haul a mile.

Fuel is a significant expense for motor carriers but can get out of hand if not controlled. Determining the cost of fuel and creating a plan is important to decrease your costs while increasing your profits. Calculating fuel costs can be tricky as it depends on where you purchase the fuel and how many miles you drive. drivers also have to include fuel taxes in their calculations.

Fortunately, there are options for fleet owners to save money on fuel expenses with fuel cards. Porter Freight offers a fuel card that can save truck drivers thousands of dollars a year with discounts and advances. It has discounts at over 14,000 locations nationwide.

There are a few different ways to find freight loads. Drivers can use load boards, freight brokers or shippers, or work directly with dispatchers. Load boards are highly competitive and aren’t worthwhile to use in the long run. They can be time-consuming, and it’s hard to ensure your load will be profitable.

Owner-operators have better success in finding profitable loads using direct shippers. Building relationships with direct shippers can be beneficial in finding the highest paying loads. Finding shipper contacts can be challenging but worth it in the end. The relationship shows you are trustworthy and the shipper will keep going directly to you for work. Dispatchers are also beneficial to work with. You pay them a small fee, and you find the loads for you. If you don’t have a lot of spare time, this can be very useful.

Cash flow issues are common for truck drivers and are a big reason why trucking companies go out of business. Typically, brokers pay truck drivers in 30, 60, or 90 days after a load is hauled. However, a trucker’s expenses don’t stop during that gap in payments.

The best way to solve this issue is by freight factoring your bills. Factoring provides trucking companies an advance on their slow-paying invoices. Instead of waiting up to 90 days to receive payment, a freight factor will advance the invoice amount (minus a small fee) in as little as 24-hours. The advance gives you access to your working capital so that you can continue to pay your ongoing expenses.

If you are in the trucking industry, you have probably heard of “freight factoring”.  Freight factoring is such a useful tool for small and medium sized businesses. The benefits of working with a factoring company (if you choose the right one) can help your business boom.

Freight factoring is the action of selling your business’ outstanding invoices to a factoring company for cash. This service is a tremendous help to trucking companies who are just getting started and don’t have capital to cover the cost of their next load until they receive full payment for their first load. Instead of having to wait up to 90 days to get paid, a factoring company will pay you usually within 24 hours. Factoring a load allows the owner/operator to continue accepting loads and therefore, growing your business.

Factoring may sound like a loan but it isn’t at all. The factoring company buys your invoices and takes a small cut of the invoice. The factoring company takes on the risk of the debt and handles all the billing and invoicing on the collections.

How does this work? The owner/operator submits the bill of lading and rate confirmation with the factoring company and once approved will deposit the money into your account via ACH, wire or a fuel card. Most factoring companies have an online portal or app where you can submit these documents which makes the process even easier!

Usually, the owner/operator does NOT need a credit check. The credit check is performed on the brokerage. Therefore, anyone can factor in their invoices, even if you have bad credit.

Factoring does not only apply to freight and logistics. There are numerous industries that use factoring services including staffing, oil & gas, manufacturing, government contracting, healthcare, and construction.

What kind of factoring is best? Recourse factoring is your trucking company is responsible for a situation where the shipper or broker doesn’t pay on time or at all. Since in this agreement you are sharing the risk, a recourse factoring fee is slightly lower. The freight factoring company will provide credit checks on the shippers or brokers that you use to minimize the risk of working with debtors who fail to pay. With a recourse factoring agreement there is a portion of your funding held in a reserve account until your client pays the factoring company. A recourse agreement is best for established trucking companies who have worked with their clients and know their payment terms. Also, it’s good for trucking businesses that don’t need back-office assistance. However, billing can be included in the contract if needed.

Non-recourse factoring is a contractual agreement that will protect you from clients that don’t pay on time, or at all. Your freight factoring company would incur the risk if the client doesn’t pay, and you will never be charged back for it. Non-recourse factoring is beneficial for most trucking companies, especially if the company cannot afford to take on the risk of a client not paying or going out of business. The fee is often slightly higher, but worth it to avoid the risk of going out of business. With most non-recourse factoring agreements you also get additional services like back-office assistance of billing, invoice handling, and collections included in the fee.

Like anything in life, you get what you pay for with factoring. Every factoring company has pros and cons. Make sure you ask questions about what additional benefits you are entitled to and always read the fine print because you usually have to sign a contract to factor in!

Did you get revoked this month by the FMCSA?  There have been a number of carriers and brokers revoked because there was no BOC-3 on file.  There are 2 reasons why this happened.

1.  The FMCSA did a sweep of account who were active but didn't have a BOC-3 on file.  Here is a sample letter that was mailed out to each carrier affected by this issue.
2.  Your BOC-3 provider may have gone out of business.

Rest assured we are NOT out of business and still going strong after 31 years.  

According to Jeff Secrist, the Chief of the FMCSA, there are many factors involved in this process.  They are working to improve the FMCSA system.  The BOC-3 system is one that needs to be overhauled.  There is no history recorded anywhere as when a BOC was filed, removed and filed again.  It's either there or it's not.

The only time we ask the FMCSA to remove a BOC is if the terms of service was not upheld or the credit card was disputed after the BOC was filed.  Otherwise the BOC stays on the account as long as the authority is active.
